Fiti Tourism: Visa Specialist Training

To further enhance the team's professional expertise and service quality, Guangxi Feitai Tourism Consulting Service Co., Ltd. organized a three-day training program for visa specialists in late 9 of 2025. The training covered updates on visa policies across various countries, key points for document review, customer service techniques, and more, all aimed at delivering more professional and efficient visa consultation and application services to our clients.

Training Background and Objectives

The visa industry is characterized by frequent policy changes and significant differences in requirements across countries. Visa policies, document requirements, and processing procedures in Southeast Asian nations are often adjusted. Visa specialists must continuously learn and update their knowledge to provide accurate consulting and efficient service to clients. Since its inception, the company has prioritized building team expertise, making regular training a key strategy for enhancing service quality.

The objectives of this training are threefold: first, to keep visa specialists up-to-date with the latest visa policies across countries, ensuring accuracy and timeliness in consultation; second, to strengthen professional skills in document review, reducing returns and rejections due to documentation issues; and third, to enhance customer service communication and adaptability, thereby improving customer satisfaction.

Training Content Overview

I. Updates on Visa Policies by Country

On the first day of training, we focused on the latest visa policy changes in Vietnam, Thailand, Malaysia, and the Philippines—the four key service countries. The instructor provided a detailed analysis of recent adjustments in visa types, application requirements, processing times, and fees, drawing from official embassy notices and practical experience.

For example, Vietnam recently expanded its e-visa eligibility and added visa-on-arrival options at select entry points; Thailand adjusted visa-on-arrival fees and permitted stay durations; Malaysia streamlined its e-visa application process; and the Philippines introduced more detailed asset verification requirements. Visa specialists have gained a comprehensive and accurate understanding of these changes through systematic training.

II. Material Review Checklist

Day 2 of the training focused on professional skills for document review. Through case studies and hands-on practice, visa specialists learned key review points for various documents and how to handle common issues.

Training covers passport validity criteria, photo specification review details, common irregularities in employment and asset verification documents, and compliance checks for business visa invitation letters. The training emphasizes the importance of pre-submission material review: providing detailed guidance to clients before they submit materials helps ensure they prepare complete, compliant documents in one go, significantly reducing resubmissions and shortening the overall processing timeline.

3. Customer Service Techniques

Day 3 of the training focused on customer service communication skills, covering: how to efficiently gather clients' visa requirements and travel plans; how to provide personalized visa recommendations tailored to each client's situation; how to handle urgent requests and special cases; and how to offer professional analysis and follow-up guidance when visas are denied.

Through role-playing and scenario simulations, the training enabled visa specialists to practice communication skills in simulated environments. The instructor provided feedback and guidance for each scenario, helping specialists identify more effective communication approaches.

Training Outcomes and Takeaways

The training was highly effective. Following the session, all participating visa specialists passed the assessment, demonstrating enhanced professional capabilities in policy knowledge, document review, and customer service.

Participants widely reported that the training was practical and highly targeted, with case studies and role-playing sessions delivering significant hands-on value. Several trainees noted that techniques for document pre-screening and customer communication learned during the session are already being applied in daily work, yielding clear results.

Post-training data shows a reduction in material return rates and improved response quality for customer inquiries. This indicates that the training is translating into tangible service improvements.

Future Training Plan

The company will maintain a regular training schedule, with at least one professional skills session each quarter. Future initiatives include: monitoring global visa policy updates to deliver timely briefings; providing structured onboarding for new visa specialists to accelerate role readiness; hosting expert-led workshops to broaden team knowledge; and fostering internal knowledge sharing to cultivate a collaborative learning culture.
